October 1, 2009 Meeting Minutes

Meeting was called to order by Theater Booster Club President, Barbara Coldiron at 7:03
in the Theater.
Financial Report – Nancy McCourt, Booster Club Treasurer, gave the financial
report and summarized activity for 2009-2010 through October 1. Focus was made
on the Fall Fest Activity, which netted $95.19. While the Pringle Toss was pure
profit (212.00), there were fixed, capital costs for the photo booth, causing a net loss of 88.81 on that event. Reusable advertising banners cost $121. It was discussed that
next year, the photo booth would be expected to have a profit since some of the fixed costs have already been spent. Totes, tees, and bears made a $93 profit.
Dues and donations brought in $1,350. The current
balance in the Booster Club account is $9,376.66
Nancy felt it was important to report inventory assets held by Booster. There are 47 totes, 84 bears and 31 tees, totally around $800.00 in potential sales. In addition, there are encumbered funds of approximately $600 for the purchase of a safe and locking
storage cabinets.
Spirit Fest Review – Barbara Coldiron received a survey regarding the Spirit Fest and wanted feedback from
the Booster Club members. Kudos were given to Pierrette Tyson for keeping us
focused on keeping the Pringle Toss. Members agreed that the 5:00-8:30 time frame
was appropriate, but indicated that perhaps, the pep rally should be held at the beginning or end of the event, rather than
the middle. General consensus was to keep the same booths next year. Suggestions for next year were to place the photo cut outs in a better-seen location and to make sure we
have consolation prizes for the Pringle toss.
Look Homeward Angel – the play opens Wednesday, October 14. Instead of tickets, Mr. Porter indicated that he would prefer a hand-stamp to be used. This will be the same for Our Town. However, the musical will
continue to be reserved seating.
A publicity head is still needed. Cheryl Danks
is interested but cannot perform in this function until after October. Nancy
McCourt, Terri Milan, and Theresa Pajares agreed to handle Publicity for the Fall shows.
Pierrette Tyson will continue to advertise in the Anderson and local elementary and middle public schools. It was agreed to combine publicity for both Fall productions.
Mr. Porter has had the students complete their bios for the program and the poster for Look
Homeward Angel was presented and very well received. Kudos to Colleen McCourt
and Mr. Porter for their design.
Gifts for cast and crew were discussed. Paula
Ervin and Lynn Chapman agreed to head up this effort. There are approximately
58 students involved and it was agreed to spend $5/bag.
Concessions will be handled by Paul Ervin, Lynn Chapman, and Cindy Moringy. It was agreed to sell water, Skittles, Sour Patch Kids, M & M’s and Cracker Jacks.
We will not do lobby decorations for the Fall productions.
Rehearsal meals are needed for Monday and Tuesday, October 12, 13 for late rehearsals. Terri Milan and Susie Doenges agreed to bring the meals on those days. Theresa Pajares agreed to bring 3 cased of small waters starting on the weekend rehearsals.
Props are still needed for the production, including Twin size box springs and frame, a
gramophone and a large heavy bed spread in muted colors. One item on the list
was a ukulele, but Barbara Coldiron offered hers.
Mr. Porter indicated at this time, he didn’t need help on costumes. Photos will be taken during a scene performance after the Sunday matinee.
Pierrette Tyson agreed to tape one performance of the production.
National Thespian Society - Ms. Pratt indicated that 5 students were interested in attending the Corpus Christi Workshops in November. A $150 deposit is due to her by October 5. Final
cost will be determined based on the number of students.
Safe Purchase – After research, it was determined that we would purchase a
new safe for the Director’s office for $300.00
Letter Jackets – Mr. Porter surveyed the students who liked the idea of other
choices besides a jacket. He will handle after the Look Homeward Angel production.
