December 3,2009 Meeting Minutes

 

Attendees:  Barbara Coldiron, Nancy McCourt, Pierrette Tyson, Theresa Pajares, Susie Doenges, Randy Russell, Cindy Moringy,  Eric Porter

 

Meeting was called to order by Theater Booster Club President, Barbara Coldiron at 7:00 in the Theater portable. 

 

Kudos for Our Town  - Wendy Pratt was not present but she was given Kudos for the performances and production of Our Town.  All went very smoothly.

 

DVD’s of Look Homeward, Angel and Our Town – Evaluation copies of both plays are available upon request at no charge.  Contact Barbara Coldiron (barbaracoldiron@yahoo.com) if interested in an evaluation copy.

 

Treasurer’s Report - As of 12/3/09, there is a cash balance in the Booster Club Funds of 6,984.61.  Of that balance, up to $300 is encumbered for purchase of a safe for the Director’s office.  We are a bit ahead of where we were at the beginning of the school year.  It was decided that a memo item would be added to the financial statements stating that there is an outstanding loan to the Activity fund.  This will be paid back to the Booster fund once production of Footloose is finished.  There is inventory of 42 tote bags, 67 bears, 38 T-shirts, 200 candy bars. 

 

Director’s Report – Footloose is in good shape so far.  The music has been taught.  The starting and ending dance numbers have been blocked.  Wendy Pratt is doing the choreography.  Mr. Porter stated that Wendy is a big asset to Anderson’s Theater program. 

 

There will be a guest actor in Footloose.  Mr. Tyler Jones who was a 1996 Anderson HS graduation and currently is a professional actor will portray the role of the preacher.

 

Mr. Porter’s wishlist includes two big wagon wheel, a refrigerator from the 1980’s,  and two pairs of roller skates.  In addition, several pairs of western boots are  also needed.  Buffalo Exchange store was suggested for purchase of the boots. 

 

This production will be a more high tech production, including scaffolding with computerized images.  Mr. Tatum from McCallum HS has agreed to loan some lighting needed for Footloose. 

 

Mr. Porter plans to rent sound equipment and make increased use of hand-mikes. 

Costume fees are $25 and publicity t-shirts are $7. 

 

Mr. Porter gave a building update.  He stated that there was a need to cancel non theater events as the noise from the construction is bad.  It is the goal to have the metal structure of the addition up by the end of February. 

 

**The Sunday matinee performance will be changed from 3:00 to 2:00.

 

Footloose Publicity - Cindy Baker is the chairperson for publicity and will work with Theater student, Kelly Pajares to arrange for guest spots on TV/radio programs.  Ms. Baker intends to have impromptu mini scenes around campus , about 1 week prior to opening, to draw attention to the show.  Mr. Porter interjected that during the 8th grade elective day, they were planning on showcasing Footloose, which will give some positive publicity.  West Austin News, TV stations, Radio stations, and Austin Family Magazine will be utilized to publicize Footloose.  A digital poster will be prepared and forwarded to parents, etc. 

 

Volunteer Opportunities -  Key roles for Footloose are:

 

            Box Office – Barbara would like to train someone to take this over for next year as she has a Senior this year.

            Concessions – Cindy Moringy will chair but will need many volunteers to help set  up and sales

            Meals – Meals  will be provide to students on the days close ot opening day.  Volunteers are needed to provide the meals.  Pizza was a more cost effective option that Schlotzky’s. 

            Program – Susie Doenges and Randy Russell are co-chairs.  Volunteers may be needed for program ads.

            Costumes – Mr. Porter will provide specific needs by Jan 7th, with the intent to have a sewing date on Jan 16th.

 

Program ads and student kudos will be offered.  Kudos will need to be received by Wednesday Jan 13th.  Forms will be available from Mr. Porter and the Anderson Theater website (www.andersontheater.org).  Photographs will need to be completed by January 12th.

 

National Thespian Society Conference -  Wendy was not in attendance to give a report.  It was reported that 5 students attended (C. Brown, A. Coldiron, K. Pajares,  K. Smith, A. Wright)  along with Wendy Pratt.  Two students (C. Brown and K. Smith) performed a duet acting piece for competition and they advanced to the National Thespian Festival.  Those attending the conference agreed that there was a high caliber of productions and they would recommend going again next year.

 

New Business

 

New Officer opportunities – It was decided to start spreading the word that new officers will be needed for next year.  Names of volunteers and nominations can be given to Barbara Coldiron (barbaracoldiron@yahoo.com).  Elections will be in March or April. 

 

Box Office Training – It will be important for someone to learn the process for printing tickets for box office as Barbara has  a graduating senior this year.  Again, anyone interested should plan to train with Barbara during Footloose. 

 

Theater Banquet – June 3 has been chosen as the date for the 2009-2010 Theater Banquet.  The location last year, Dave and Busters is a possibility again this year, but other locations are being researched as well.  There were some positive and negative feedback from the location last year. Technical difficulties needs to be improved for next year.   Please bring forth ideas to any of the Booster Club officers. 

 

There will be a Booster Club Closet cleaning party on January 14th. 

 

Next Booster Meeting is scheduled for Jan 7th.  However, because of the Rose Bowl conflict, this meeting will likely be changed to another date.  The date has not yet been selected.
