January 14, 2010 Meeting Minutes

 

Attendees:  Lynn Chapman, Barbara Coldiron, Tracy Cornelius, Julie Cowan, Susie Doenges, Carol Hillis, Nancy L’Amie, Nancy McCourt, Cindy Moringy, Theresa Pajares, Lee Robbins, Randy Russell, Marcia, Shultz, Pierrette Tyson, Jill Urban

 

Meeting was called to order by Theater Booster Club President, Barbara Coldiron at 7:00 in the Theater portable. 

 

Treasurer’s Report - As of 1/14/09, there is a cash balance in the Booster Club Funds of 6,191.13.  Of that balance, up to $300 is encumbered for purchase of a safe for the Director’s office. There is an outstanding loan of $2000 to the Activity fund.  We still have a number of bears, totes, t-shirts and candy bars.  Income for the period was $26 for collection of student meals for Our Town.  Expenses included payment of Summer Camp snacks, Director gifts and water for Fall productions.

 

Director’s Report – Footloose is in good shape.  There was a role change for the lead part.  Jake Milan transferred to another school and had to leave the role.  Terry Hillis, Sophomore, and Jake’s understudy stepped into the role.  Wendy is continuing with the choreography.  A sink is still needed for the set, but all other props are in complete. 

 

Costumes still needed are 80’s clothing such as leg warmers, prom dresses, western wear.  Because we still need to purchase costumes, sewing day scheduled for 1/16/10 has been moved to 1/23/10.  On that day there will be a technical rehearsal from 11:00-8:00.  Lunch will be provided by the Booster club on that day, with student contributions of $2 each.

 

The program is in process for Footloose and  we have 9 solid pages so far.  Three ¼ page ads, two ½ page ads and one 1/3 page ad have been purchased.  There are only 9 kudos purchased so far.  The cover will be red, black and white and mirror the poster which should be ready for pick up on Monday.

 

Publicity – Cindy Baker sent a written report indicating that press releases have gone out to community calendars.  She made a suggestion that perhaps a student could take over this function in future plays.  The following were media the press releases were sent to:

Cindy noted that Bart Stephens and West Austin News refused to do any articles before the performance but would do one after the performances.  Judy Maggio is working on having a publicity piece on the 2 lead actors and guest actor, Tyler Jones. 

 

It was decided Kelly Pajares would write bios for the two leads, which will be given to Judy to use in the publicity piece.

 

Meals – We will provide Saturday, Monday, Tuesday dinners.  Students need to pay $2 per meal.  Lee Robbins and Jan Austin Scott will coordinate for Saturday’s meal.  Pierrette Tyson and Cindy Moringy will handle Monday and Tuesday.  Theresa Pajares will purchase the water for the rehearsals and performances.

 

Goodie Bags – Lynne Chapman and Paula Ervin are working on goodie bags.  They settled on plastic cowboy boots to be filled with ‘80’s candy and decorated with a tie in to the Footloose poster theme.  These are scheduled to give to the students after the string ceremony.

 

Volunteers – Nancy L’Amie gave notice of positions still needed, many of which were filled by those attending the booster meeting. 

 

Box Office - It was decided to have the Box Office either at the entrance to the Band Hall or the lobby depending on weather.  Tickets have been ordered and will arrive shortly.  Xan Benton agreed to train with Barbara in order to take over ordering and cutting tickets for next year.  Yea Xan!  On line ticket sales have been strong.  So far, the biggest seller has been for Friday’s performance.

 

Parking – there is concern over parking for the performances due to the construction.  It was noted that most likely, people could park at the Church across the street as they have been generous with this in the past. 

 

Lobby decorations – It was decided that at the entrance lobby, large posters of the cast would be used to decorate for the show.  Cheryl Danks agreed to take pictures and handle the ordering of the posters and decorating.

 

Barbara Coldiron will buy the safe for Mr. Porter’s office on Saturday.  This expenditure was voted on in a previous meeting.

 

Letter jackets should arrive in about 1 month.

 

Meeting was adjourned at 8:20p.m.
