March 4, 2010 Meeting Minutes

 

Attendees: Eric Porter, Wendy Pratt, Barbara Coldiron, Nancy McCourt, Theresa Pajares, Pierrette Tyson, Cheryl Danks, Nancy L’Amie, Cindy Moringy

 

The meeting was called to order by Theater Booster Club President, Barbara Coldiron at 7:10 in the Theater portable. 

 

Treasurer’s Report - As of 3/4/10, there is a cash balance in the Booster Club Funds of 5,380.46. There is an outstanding loan of $1,767 to the Activity fund.  There are 42 Totes and 38 Tees in inventory.  Net Funds for the period were ($476.44):

Nancy McCourt provided additional analysis on cash flows (spending habits) since 8/1/2008, indicating that since that date, the Booster Club has increased cash by a net of $1,340.00.  Part of the inflows of cash was due to a one-time donation of $10,000 plus dues, Spirit Fest, and concessions.  The outflows of cash included productions support, rehearsal meals, water, year-end banquet, Goodie bags, director’s gifts, summer camp, security supplies, box office supplies, decorations and miscellaneous expenses. 

 

This analysis led to discussion on the need for a Booster Club budget.  It was decided that in the spring, Barabara Coldiron will form a budget committee to prioritize and document the Club’s anticipated income and expenses.  On that committee, there is expected to be two officers and two other Club members, plus directors. 

 

UIL Preparation - The Zone UIL competition will be held March 24 at Westlake HS.  Anderson performance will be at 6:00pm (The competition begins at 5:00 pm).  The schools in our zone are Bastrop (5:00pm), Anderson (6:00pm), Akins (7:00pm) and Westlake (8:00pm).  The remaining four schools will perform March 25.  It is likely that the understudies will not need to miss the whole school day, but can head to the competition around 3:00.  Mr. Porter will give instructions to the students. 

 

Dates:

Zone Competition – March 24 (Westlake)

District Competition – April 1

Area Competition – April 6 (San Antonio)

Region Competition – April 24 (San Antonio)

State Competition – May (Bass Concert Hall)

 

Anderson will have public performances, most likely in mid April, after the District competition on April 1.  The public performance will also include an understudy performance. 

 

UIL will need water donations for the competition as well as box office/concession help for the public performances.

 

Director’s Report – On April 12, the Advanced Theater II class will perform a 30-minute version of The Little Prince at 1:00 and 2:00 to the students at Doss Elementary School.

 

Student Directed One-Acts will be chosen soon, with student proposals due next week.  The performances will be May 17-18.  There will be one-person shows performed for those Advanced Theater III and IV students not directing a one-act.  The logistics of these performances are to be determined.

 

Summer Camp will be held June 14-18 (tentative dates) at Murchison Middle School.  There will be ½ and full day options with a price of $75 and $125 accordingly.  The Booster Club will provide a Camp Coordinator to help organize the administrative tasks and communications.

 

Erin Winter (Belle’s director) has a parent who wishes to donate benches for the Theater Lobby.  Cheryl Danks volunteered to help pick out style with Mr. Porter.

 

Spirit Fest -  The Booster Club is asking for a volunteer to Coordinate our involvement in the 2010 Spirit Fest.  This person will need to attend the spring planning meeting.  We do not yet have a date for the meeting.  This meeting includes the booth sign ups for each group.   Last year, Theater did a photo booth and Pringle Toss.  There was discussion of other booths this year or whether we should keep the ones from last year.

 

Theater Banquet – The banquet will be held June 3 and we have a reservation at Dave & Busters.  There was discussion on changing the food choices, including finger foods/desserts only.  The Little Theater Company members will determine the theme.  Booster club will be needed to decorate and be available the date of the banquet to test audio visual equipment.

 

2010/2011 Officer Nominations -  An officer’s slate was passed out and any additional nominations requested.  There were no other nominations.  Nancy L’Amie proposed that the slate of officers be accepted as officers for next year.  Pierrette Tyson seconded the motion.  The officers for next year are:

Vice-President – Cindy Moringy

Secretary – Pierrette Tyson

Treasurer – Theresa Pajares

 

The Booster Club meeting was adjourned at 8:30pm.  The next meeting will be April 8, 2010 at 7:00.
